Lyons Davidson has extensive experience of providing volume or bulk legal services to insurers and other institutions. Our Filestream technology and Extranet facility enable us to do this in an efficient and cost-effective manner. In the property context this is achieved while maintaining the same high standards of personal service that our clients expect on single standalone transactions. A “call-centre” approach simply does not work in a practice area as complex as real estate, and on every individual property transaction we allocate an experienced lawyer and a named support team who will have personal responsibility for the file. At the same time we are able to provide a detailed progress chart accessible 24 hours a day, 7 days a week through the Lyons Davidson Extranet plus direct secure access into the detailed documents and processes within our Filestream case management system.
Filestream as a file management system provides us with benefits including:
- increased efficiency in the delivery of transactional work through processes and precedent documents
- management of the delivery of service standards for clients and referrers with reminders, escalated activities and supervisor reviews
- implementation of audit and risk management procedures
- integrated document management and time recording, including email and scanned documents
- management information written specifically to each referrers requirements
The workflows within Filestream help us to ensure compliance with service standards (as well as our internal risk assessment procedures) by the use of relevant to do(s) in each type of process including:-
- Monthly file review
- 6 month supervisor review
- Supervisor security
- Escalated to do’s
- Client update reminders
- incoming post received
These are reviewed by our compliance and audit team, who also have access to audit reports and exception reports to support their audit role. Our workflows can be specifically tailored so that instructions are dealt with in accordance with your business model and all stakeholders and participators notified and updated at the relevant points in any transaction
Management Information - The provision of detailed management information is now crucial to large scale contracts, and an essential part of the management of our business. All major referrers of work are provided with a dedicated MI Manager who can provide answers to their queries and either carry out analysis or provide raw data for them to review themselves.
Reports - Reports for high volume work can be provided in different formats as set out below.
Arrays - Information from the individual files is warehoused overnight into file array. Pre-formatted calculations are carried out on the data, and profiles of the data are displayed through web based array viewers. These are used throughout our business and provide extremely powerful tools. The array viewer allows managers to:
- filter the data to show a different profile
- drill down to lists of all entries contained within data sets
- link to the individual live file
- build further reports on the selected data from the array
- view the anticipated costs, billed costs and your fee referral or discount if applicable.
Extranet live reporting - Live extranet reports are all specifically written for our clients and can query any data stored within Filestream. The reports query the live data and can be run by clients within their extranet site at any time. The results of the data can be copied into Microsoft Excel from the site for further review by the client. Links within the results provide access to the individual file.
Excel reports - These are usually circulated by email on a monthly basis to provide a snapshot of data. All reports load directly in to the excel sheet from the individual files.
Data transfer- We can also export management information in specified formats (such as xml or .csv) to allow information to be loaded into other systems.
Group data - We are also experienced in acting as the host for central management information on our extranet for work involving other organisations, collecting data and merging it into one application. This allows for a single point of access for information and the ability to allow other stakeholders to access and update information centrally.
